Exclude prospects

Growbots allows you to generate prospects and reach out to them with a drip campaign. However, there are people you most likely want to exclude; like your clients, leads and people who opted out of your previous campaigns. You may also want to exclude contacts you already received from another source. Either way, you want to make sure these people don’t come up in your searches in Growbots.

There are two ways you can deduplicate your current contacts. You can exclude contacts by entire companies or individual contacts.

Excluding Companies

You can exclude entire companies by uploading a list of their domain names. All the email addresses in the Growbots database are based on the company domain names. This way you can ensure that no prospects from this company will be generated in your Growbots projects.

To exclude individual contacts, import their email addresses as prospects to Growbots. Remember to use only business emails, based on the company domain names.

Preparing a CSV file

Modern CRMs offer a simple way to export all of the contacts to a CSV file.

  1. Log in to your CRM and download a CSV file with the contact details of your leads and clients.
  2. Growbots only requires a company’s domain name for deduplication. The file can contain other columns as well and they shouldn’t impact the upload. Best practice is to remove any other columns, though.
  3. The fields should not contain http, www, or slashes /. Correct example: growbots.com. Incorrect example: https://www.growbots.com/customers.
  4. Rename the header of the column that contains domain names to „website”.
  5. Although Growbots requires a company’s domain name, you can also use an email address that contains the domain name and the system will extract it.
  6. If you’re unsure if your file is formatted correctly, take a look at the sample do-not-contact list.

Uploading a Company Do-Not-Contact list

Once you have the list ready, you need to upload it into the system. Only the Growbots admin user is able to upload a do-not-contact list:

  1. Go to the Settings view by clicking on the navi-bar to the left and then on the Organization tab.
  2. Scroll down to the Do not contact list section and click Upload data.
  3. Select the CSV file you wish to upload and confirm.
  4. Once the file is uploaded, the do-not-contact list will appear below the Upload data button.
  5. Initially, the list status will change to matching. This signifies that the list is being processed.The time it takes to process a list depends on the size of the file. Large lists may take up to 24 hours to process.
  6. The status will change to matched once the list is fully matched and operational.

You can also add a company do-not-contact list by clicking Upload a CSV file with DO NOT CONTACT company list in your Dashboard.

That’s it! From now on, Growbots won’t generate prospects with emails based on the domain names from the list.

Remember, uploading a do not contact list does not affect your current prospects in any way. If you want to make sure prospects from the companies on the list are not already in your projects, Reject all your current prospects and generate new prospects from scratch.

You can upload multiple do-not-contact lists. Multiple lists can contain the same company domain and it will not impact the import.

You can review any do-not-contact list in the system by clicking on the name of the list. The original CSV file with the list will be downloaded.

Removing a company do-not-contact list

If you no longer want to exclude companies using a certain list, you can remove it:

  1. Go to Settings on the navi-bar to the left and proceed to the Organization tab.
  2. Scroll down to the Do not contact list section. Find the list you want to remove and click on the red x next to the list status.
  3. The list status will be changed to revoking, which signifies the action is processed.
  4. Once the list is revoked, it will disappear from the Do not contact list section.

You can also remove a list by clicking delete in the Connect your CRM section of your Dashboard.

Excluding Individual Prospects

You can exclude individual contacts by importing their email addresses to Growbots as prospects. All the email addresses in Growbots are based on the company domain names, so remember to use only business emails. This way you can ensure that no prospects with these email addresses will be generated in your Growbots projects.

Preparing a CSV File

Most CRMs offer a simple way to export all of your contacts to as a CSV file.

  1. Log in to your CRM and download a CSV file with the contact details of your leads and clients.
  2. Only the email addresses are required for de-duplication. Providing additional data like a prospect’s first name, last name, position and company name might prove helpful when browsing the contacts list in the future.
  3. If in doubt, take a look at the sample do-not-contact list.

Uploading Prospects

  1. Go to the Projects section on the navi-bar to the left.
  2. Click Import prospects in the upper right hand corner to upload your contacts to Growbots. You can import the prospects to an existing project, but it’s best to create a separate project for that. You can simply call it Do Not Contact or something along those lines.
  3. Upload the file and match the columns in the file to the custom fields available in Growbots.

That’s it! From now on, Growbots won’t generate any prospects with an email address you imported.

Remember, uploading a do not contact list does not affect your current prospects in any way. If you want to make sure prospects from the companies on the list are not already in your projects, Reject all your current prospects and generate new prospects from scratch.

The imported prospects will be available on the New prospects screen. Keep in mind, Growbots doesn’t allow you to search for prospects on the New prospect screen. You can make them searchable by clicking Accept all and Export to CSV. The prospects will be moved to Project progress screen with status Exported to CSV.
