Replies & qualifying prospects

When you receive a reply from a prospect, Growbots immediately pauses the campaign running for them. The prospect’s status is also changed to Paused – new reply. No follow-ups will be sent to this prospect unless the message is classified as an out of office reply. Find more about it in the paragraph on Out of office messages below.

Growbots analyzes the contents of the reply to classify it as either a bounce message, an out of office reply, or a genuine reply.

You can review the reply in the communication history section of the prospect’s Details view. It offers plenty of information about the timing as well as the contents of the messages, both sent and received.

Growbots offers a feature that automatically moves the bounce messages, out of office replies, and negative replies to separate folders, to keep you inbox clean. Learn more about it in the article on folder management.

Qualifying prospects

When you receive a positive or a negative reply from your prospect, make sure to either qualify or unqualify them to make sure they don’t receive any more follow-ups.
The qualified/unqualified status is also a clear indicator that this prospect should not be contacted in the future.

You can qualify/unqualify a single prospect or the entire company.
Qualifying/unqualifying the entire company stops the campaigns running for all the prospects in that company. It also prevents you from generating a prospect from that company in the future.

To qualify/unqualify the prospect, locate them in the Search view, click Actions and choose Qualify or Unqualify.

Choose whether you want to qualify/unqualify the selected prospect only or the whole company.

You can also do that in the Project progress view by clicking Mark as… next to the prospect and choosing either Qualified or Unqualified.

Out of office messages

When you receive an out of office reply from your prospect, Growbots automatically schedules the campaign to resume shortly after the prospect is back in the office. In such cases, the prospect’s status is changed to Resuming – out of office. Learn more about it in the article on out of office rescheduling.

If we’re not able to recognize the return date, prospect’s status is changed to Paused – out of office or Paused – New reply and you’ll need to resume the campaign manually.

Scheduling continuation

We suggest scheduling the campaign to resume shortly after the prospect comes back to the office.

To do that, you’ll need the return date. You’ll find it, in the prospect’s reply in the Communication history section of the Details view. You can access the Details view by clicking on the prospect.

In the Project progress view, you can access it by clicking Details next to the prospect.

To schedule the continuation of a campaign, click Actions next to the prospect and choose Schedule continuation. Choose the date and the time when you want the campaign to resume and confirm by pressing Schedule.

Resuming a campaign doesn’t make the messages go out immediately. The messages are sent according to the timing rules set in the cadence.

You can also do that in the Project progress view by clicking More… next to the prospect and choosing Schedule continuation. Choose the date and time when you want the campaign to resume and confirm by pressing Schedule.
